How to use it

Three steps, about a minute

  1. Step 1

Enter Hours booked in half-hour steps and your Minimum hours for this vehicle or date.

  2. Step 2

Set the Hourly rate and the Gratuity percentage, and include any flat Fuel & fees charge.

  3. Step 3

Share the Base, the Gratuity amount and the Total quote with the client as an itemized price.

How the limo price calculator works

Base = the larger of hours booked or minimum hours, times the hourly rate. Gratuity = base x gratuity percent. Total quote = base + gratuity + fuel and fees, so the tip is figured on the base only, not on fees. In the default booking, 4 hours clears the 3-hour minimum, so the base is 4 x $120 = $480. A 20% gratuity adds $96, and $25 of fuel and fees brings the total to $601. Book only 2 hours and the 3-hour minimum still bills 3. Tolls, parking, airport fees, wait time past the booking and overtime are not modeled, so add them to Fuel & fees or quote them separately. State clearly that gratuity is included so clients do not tip twice.

Pro tips

Using the numbers like a pro: tips for limo and transportation companies

Tip 01

Set higher minimums for peak dates like prom and wedding season. Demand bunches up on those days, and a short booking can block a vehicle that would otherwise earn a full evening.

Tip 02

Show gratuity as its own line and say plainly that it is included. Event planners comparing quotes need to know whether a lower price leaves the tip to be added later.

Tip 03

Spell out whether billing runs garage-to-garage or from pickup to drop-off. If the clock starts when the car leaves your lot, say so up front so the hours on the final bill match expectations.

Turn it into leads

Put a calculator like this on your own website

Event planners and couples collect several limo quotes before they decide. A quote calculator on your site that shows the all-in total, gratuity and fees included, makes your price easy to compare and harder to second-guess. Ask for the event date, pickup city and email to hold the quote, then follow up the same day. We design these to match your fleet and rates.

FAQ

Limo Price Calculator questions

How are limo rentals priced?

Most limo and car services charge an hourly rate with a minimum number of hours, then add gratuity and fees such as fuel, tolls, parking or airport charges. Some offer flat rates for airport transfers or set packages. Rates often change with the vehicle type, day of the week and season, so ask for an all-in total in writing.

Is gratuity included in a limo quote?

Many limo companies add a standard gratuity to the bill, usually shown as a percentage of the base rate. Others leave tipping up to the client. Check the quote or contract for a gratuity line before you hand the chauffeur cash, so you do not end up paying the tip twice.

Why do limo companies have minimum hours?

A booking ties up a vehicle and chauffeur for more than the ride itself, including cleaning, prep and travel to the pickup point. Minimums make sure short trips still cover that time, especially on busy dates when the vehicle could have taken a longer job. If you book fewer hours than the minimum, you pay the minimum.
